Privacy Policy

West Coast Rentals rents tents, tables, chairs and event equipment across Northern California, based in Modesto. This policy covers west-coast-rentals.com and WCR Crew, the iOS app our delivery crews use to run deliveries and pickups.

• Contact and booking details — name, email address, phone number, billing and delivery addresses, and the details of your event.
• Order information — items reserved, dates, pricing, invoices and payment records.
• Account credentials — if you create an account, your email address and a securely hashed password. We never store your password in readable form.
• Agreements you accept — a record of the rental terms you agreed to at checkout, including the date and time.

Card payments are processed by Stripe. Full card numbers are handled by Stripe and are never stored on our systems.

WCR Crew is an internal tool. It is not intended for the general public and requires a staff account that only West Coast Rentals can issue. Crew members sign in to see the jobs assigned to the business and to record what happened on site.

• Camera — used to scan equipment tags and to photograph equipment on delivery and pickup as proof of condition. Photos are attached to the relevant job.
• Photo capture — customer signatures may be captured on screen to confirm delivery or pickup.
• Notifications — a device token is stored so we can remind crews about upcoming jobs. It identifies the device, not the person.
• Sign-in credentials — stored in the device keychain, not in ordinary app storage.

The app does not collect location data, does not track you across other apps or websites, and contains no advertising or third-party analytics.

• To prepare quotes, fulfil reservations, and deliver and collect equipment.
• To take payment and issue invoices and receipts.
• To contact you about your booking.
• To keep records of equipment condition and of what was delivered and returned.
• To meet our tax, accounting and legal obligations.

We do not sell your personal information.

Only with service providers who help us operate, and only as far as they need it: payment processing (Stripe), email delivery, and cloud hosting and database services. We may also disclose information where the law requires it, or to establish or defend a legal claim.

Booking, invoice and payment records are retained for as long as we need them for accounting and tax purposes. Work-order photos and signatures are kept as the record of a rental. You can ask us to delete information that we are not required to keep.

• Ask for a copy of the information we hold about you.
• Ask us to correct anything that is wrong.
• Ask us to delete information we are not legally required to retain.
• Turn off notifications at any time in your device settings.

Traffic is encrypted in transit. Passwords are hashed. Access to customer records is limited to staff accounts with the permissions their role requires. No system is perfectly secure, but we take reasonable measures to protect your information.

Our services are intended for adults. We do not knowingly collect information from children under 13.

If we change this policy we will update the date at the top of this page. Material changes will be communicated to affected customers.
